As the Office Coordinator at Siegel+Gale San Francisco, you will support a team of about 10 with duties in both office administration and account management:

Office administration:

  • Assist Managing Director in basic office administration and executive support
  • Assist in the packaging of any outgoing parcels
  • Assist in the setup of conference rooms for meetings (plots, catering and A/V)
  • Assist in the breakdown and setup of workstations for new hires/leaving employees
  • Maintain office and conference room appearance
  • Routinely check and reload toners for all copiers and printers and restock copier paper
  • Assist fellow employees with various administrative tasks
  • Assist in document management; including facilitating destruction of confidential documents
  • Take lead role in coordinating with our colleagues in Los Angeles for inter-office town halls, and occasional parties/festivities

Account management:

  • Assist Account Director with project budgets, schedules, and resource needs for client projects
  • Coordinate various project elements; prioritize and manage detailed work
  • Update client reports and assemble presentation materials for client meetings and new business opportunities
  • Assists with general, day-to-day administrative needs of cross-functional teams (meetings, notes, timelines, etc.)

You’re a great fit for this position if you have:

  • 2+ years of general administrative and office-related experience
  • Extensive knowledge of business applications, specifically Word, PowerPoint, KeyNote and Excel
  • Ability to manage multiple tasks
  • Strong interpersonal capabilities
  • Attention to detail
  • Excellent communication skills, both verbal and written, communicating clearly and concisely
  • Ability to think creatively in finding solutions for infrastructure / facility related issues
  • General knowledge of basic A/V equipment use and setup
  • Displays pride in work
