The Licensing Coordinator ensures sales and customer service staff members’ licenses are valid and up-to-date; when dates for renewals are approaching, the coordinator will assist the employees with the renewal processes. The coordinator will also be tasked with assisting new sales and customer service employees with the applicable state requirements for new licensing applications and communicating with the states on cancellation of licenses when an employee terminates.
The Licensing Coordinator will also have record-keeping duties, which involve keeping copies of licenses, and related documents.
The Licensing Coordinator is responsible for all the following areas:
Administers licensing process for new hires, renewals, and terminations.
Conducts quarterly audits on the licensing process to ensure the organization remains compliant.
Stays up-to-date with new compliance rules and processes provided by the states to maintain compliance.
Liaises with the appropriate states on employee statuses or changes.
Manages compliance tracking.
Facilitating state licensing requirement and application process during new hire orientation.
Evaluate information on applications to verify completeness and accuracy.
Setting-up license deductions for payroll in the HRIS system.
Acts as the point of contact for employees by answering and responding to request and questions.
Maintaining/filing records for employee personnel files.
Assist with HR administrative tasks as needed.
Responsible maintaining satisfactory attendance.
This position has no supervisory responsibilities.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
POSITION TYPE AND EXPECTED HOURS OF WORK
This is a full-time position. Days and hours of work are Monday through Friday, 9:30 a.m. to 5:30 p.m. Schedules are subject to change at any time.
REQUIRED EDUCATION AND EXPERIENCE
Associates degree or higher preferred
Minimum of three-year professional administrative experience
Display exemplary work ethic, professionalism and interpersonal skills
Demonstrate technical capability, strategic thinking, exceptional attention to detail, time management and organization, communication proficiency, leadership and teamwork
Ability to build rapport with all employees
Able to model integrity within the organization and maintain a high degree of security and confidentiality of sensitive information

High proficiency with Microsoft Office (Word, Excel, Outlook, Access, PowerPoint).
