Job Title: Administrative Assistant of Human Resources

Reports To: Director of Human Resources
The Administrative Assistant of Human Resources will perform administrative task and services to support effective and efficient operations of the organization’s human resources department.
Duties/Responsibilities: • Answers and directs departmental phone calls. • Assist with payroll functions including generating reports, answering employee questions, and distributing checks. • Assist in the maintenance for sales employee’s headset, uniform shirts, and security access badges. • Assist with preparation of human resource reports such as attendance. • Answers frequently asked questions from employees relative to standard policies and employee life cycle with the company. Will refer more complex questions to appropriate senior-level HR staff or management. • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and department events. • Maintains accurate and up-to-date human resource files, record, and documentation. • Maintains the integrity and confidentiality of human resources files and records. • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately. • Schedules and organizes appointments for HR management; takes minutes during departmental meetings. • Provides clerical support to the HR department. • Performs other duties as assigned. • Reliable and maintains satisfactory attendance.
Competencies: • Excellent verbal and written communication skills • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
• Excellent organizational skills and attention to detail. • Proficient with Microsoft Office Suite or related software. • Proficient with or the ability to quickly learn information systems and similar computer applications.
Education and Experience: • High School diploma required. • Prior related office experience required.
This is largely a sedentary role; however, filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to lift up to 15 pounds at times.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 9:30 a.m. to 5:30 p.m. Schedules are subject to change at any time.
