Reporting to the Manager, Facilities the Facilities Project Specialist provides space planning, design and project coordination services for all assigned Facilities related projects.  He/she is also responsible for establishing and tracking project scope, budget and schedules for each assigned project.  Facilities related projects include small moves, furniture reconfigurations, office renovations and office relocations.  Each project would encompass all disciplines  including architectural, electrical, HVAC, plumbing, life safety, furniture layouts and employee plans.

Your Responsibilities:

  • Determine key stakeholders for assigned projects and arrange meetings to gather all information required
  • Develop an overall project plan which includes overall scope, risks, budget and project schedule
  • Site-verify all aspects of the existing drawing to ensure accuracy in architectural layout and finishes, seating plan, HVAC and electrical layouts
  • Create all drawings required to complete the project using AutoCAD, including drawings for preliminary feasibility, detailed construction for permit submission (where required), detailed moves and reconfiguration (all drawings must adhere to local building and fire codes and follow proper design principles)
  • Update any as-built drawings to be compliant with the departmental drawing standards upon completion of all projects
  • Coordinate the work of various trades onsite to ensure all projects are completed on schedule and within budget
  • Ensure schedule is being adhered to and any issues are resolved swiftly
  • Establish professional and effective relationships with resources including the following internal resources: ITS, Enterprise Procurement, Communications, Risk and Legal and the following external resources: Furniture Vendor, Movers, Installers, General Contractors, Trades, Landlords, Property Managers, Building Contacts
  • Develop and monitor scope, budget and schedule for all assigned projects and report on actual versus forecasted
  • Exercise foresight and initiative to take appropriate action throughout all projects to avoid scope creep, budget overages and schedule deviations
  • Justify and explain any and all changes to the project scope, budget and schedule on a regular basis
  • Identify any risks throughout the duration of each assigned project
  • Mitigate all risks early to ensure little to no impact on project scope, budget and schedule
  • Work independently and with Marketing and Communications to prepare an internal and/or external communication plan that will be used as a guide throughout the project
  • Regular communication in the form of scrum meetings or touchpoints with customers, resources and the Leader
  • Remain  well-versed with the Ontario Building Code, AutoCAD updates, project management theories and presentation skills

Your Skills & Experience:

  • University degree or college diploma in a related field
  • Design and project coordination experience, with a demonstrated ability to deliver projects and tasks on-time and within budget
  • Minimum 10 years’ experience in project design, planning and coordination
  • Proven ability to professionally present, interpret and discuss architectural and construction drawings
  • Proficient in Microsoft Office and AutoCAD
  • Strong organizational and time management skills with the ability to handle multiple assignments and deadlines
  • Effective written and oral communication skills with the ability to tactfully resolve conflict
  • Ontario Building Code qualification in Part 3 would be an asset
