Reporting to the Manager of Process Improvement and Support Services, the Administrative Assistant is responsible for assisting the continuous improvement initiatives of the Product, Pricing & Underwriting (PPU) department, as well as “bringing your best” through contributions to other areas of Economical.

In this role, you will:

  • provide administrative support services to PPU Management and department staff, with a large focus on IT and HR-related responsibilities
  • provide guidance and support to your team 
  • contribute to process improvements
  • provide onboarding training to introduce Economical’s philosophy and processes, and provide hands-on support to the PPU Learning and Education program

Your Responsibilities

  • Actively support the development, refinement and documentation of department policies, procedures and practices
  • Assess barriers and identify opportunities for improvement by identifying root causes of problems or inefficiencies
  • Document existing, updated and new business processes, procedures and all other supporting documentation (e.g. onboarding and training materials, department SharePoint site)
  • Monitor the PPU Administration inbox and answer all incoming requests within 48 hours, effectively triage and categorize all requests
  • Anticipate and action department requirements, identify challenges and opportunities to achieve team goals
  • Act as Subject Matter Expert (SME) for the department, providing technical assistance to IT and IT Security departments with tasks such as software set-up, troubleshooting and security access
  • Strong project management and effective execution skills to ensure successful delivery / implementation of special initiatives, processes and policies
  • Share ideas, ownership and accountability for driving improvements and consistency of execution for key HR, IT, Facilities and PPU processes
  • Compile information and prepare extensive reports, correspondence and documentation as requested
  • Update job descriptions (including co-op) as directed by Management
  • Assist in coordinating and/or hosting university information sessions/job fairs
  • Coordinate candidate interviews (local and international)
  • Prepare interview and reference packages for hiring leaders
  • Compile new hire packages and meet with candidates to complete onboarding paperwork
  • Orient new hires through HR and PPU onboarding
  • Draft HR paperwork for: separations, leaves of absence, transfers, leader changes/rotations, salary increases, job re-evaluations and tuition reimbursement
  • Maintain electronic and hard copy employee files, ensuring their integrity and accuracy
  • Administer, monitor and ensure employee compliance with the guidelines and procedures for the Actuarial Study Program

Your Skills and Experience

  • University degree or college diploma in a related discipline   
  • 4-6 years of experience in a fast-paced administrative/executive/business/project management support role
  • High level of critical and logical thinking
  • Strong problem-solving skills with the ability to evaluate options/alternatives for solutions/recommendations
  • Project management and workflow experience is an asset
  • Previous experience supporting Human Resources and handling confidential information
  • Self-starter who takes initiative and thrives in a fast-paced environment
  • Ability to manage multiple work streams simultaneously
  • Strong desire to continuously improve and help others improve
  • Must be dependable, innovative, pro-active and flexible
  • Proficient in the use of Microsoft Office: Word, Excel, Project, Access, VISIO, PowerPoint, OneNote, SharePoint, Lync – Skype for Business (testing may be required)
  • Experience within the insurance industry is an asset
  • Fluency in English is required and French is an asset
