The Sr. Administrative Assistant provides personal and administrative support to Commercial Team, as well as, departmental activities to ensure municipal services are provided in an effective and efficient manner.
General administrative responsibilities
Prepare and edit correspondence, communications, and presentations and other documents
File and retrieve documents and reference materials
Coordinates executive schedules, appointments and travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used
Assist in logistics for internal and external collaboration projects, workshops, and forums, including preparing agenda and minutes, printing and distributing material, tracking action items, and checking on the follow-up and closure of actions
Proofreads and edits material for grammatical and factual accuracy to ensure that final documents are accurate before distribution is made.
Answer and manage incoming calls
Co-ordinate project based work with other assistants
Review operating practices and implement improvements where necessary
Rotation of duties for office reception desk, kitchen tidying, and other shared office requirements (such as supply ordering, mail distribution, etc)
Communicate with C-suite external clients scheduling meetings and calendar experiences
Coordination of purchase orders and receipt activities
Administrative support to the Chief Commercial Officer, and others, as assigned
Assists with special projects as assigned.
Serves as a back-up to other administrative staff when needed.

Skills & Abilities
Proficient in Microsoft Office Suites
Knowledgeable of electronic calendar (Outlook required)
Strong communications and time management skills
Ability to multi-task, prioritize daily workload and achieve deadlines
Work cross-functionally to support all operational functions
Management projects that are critical to senior level executive teams
Trained in use of EDMS
Demonstrates proficiency with Domestic and International travel; Concur experience preferred
Ability to manage and process reports; maintaining financial efficiencies and reducing costs
Ability to discreetly handle confidential information
Under limited supervision, must have the ability to proactively identify and resolve potential problems and issues and keep up in a fast paced environment
Ability to work autonomously, efficiently, be solutions-oriented, flexible, proactive, and anticipate needs is required to take ownership of work and excel in a team environment

The physical demands of the office are normally association with extended amounts of time sitting and using office equipment, including a computer, keyboard and mouse, which can cause muscle strain. While performing the duties of this job, the employee is frequently required to stand, walk and sit. Periodic light lifting of supplies and materials may apply. Work is performed in an office environment.
Education & Professional Experience
Bachelor’s degree or equivalent experiences required
Minimum of 3-5 years as senior administrative or executive level support working in a corporate environment; biotechnology/life science experience preferred
Strong accuracy and attention to detail
Excellent verbal and written communication skills
Professional attitude and demeanor
Ability to organize and prioritize multiple tasks
Proficiency in MS Office Suites, Word, Excel, PowerPoint, and Outlook
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
