Administrative Assistant / Receptionist

Job Responsibilities

As an Administrative Assistant/Receptionist, you will perform basic administrative support duties including greeting visitors and clients. You will answer incoming telephone calls, answer basic questions and make transfers to internal sources and/or designated recipients.

Administrative Assistant/Receptionist additional responsibilities:

  • Create and maintain basic word processing documents
  • Maintain electronic and hard copy project documentation
  • Input data into proposal tracking and contact management system
  • Make travel arrangements when requested
  • Maintain and manage office conference room calendars
  • Assure conference room schedules are accurate and anticipate scheduling conflicts
  • Manage and schedule videoconferences upon receiving requests
  • Provide conference room and videoconference confirmations
  • Log receipt of packages that are delivered to the office
  • Order food for meetings
  • Assist with implementation of initiatives or projects as needed

Administrative Assistant/Receptionist requirements:

  • High School diploma with College or business school degree preferred
  • 1 -3 years’ of equivalent work experience
  • Project a professional image both in-person and on the phone
  • Prior experience with an Architectural or Engineering firm, a huge plus
  • Familiarity with Deltek and BST, a huge plus
  • Knowledge of Microsoft Office Suite including Outlook, Word, Excel, PowerPoint
  • Working knowledge of Adobe Acrobat & Reader and Skype for business
  • Ability to work with minimal supervision and to work in a time sensitive work environment
  • Excellent communication, organizational, inter-personal skills and ability to collaborate in a team environment
  • Flexibility to work overtime when needed
