Description

Qualifications:

  • High School Diploma
  • Medical Office Assistant Diploma/Certificate preferred
  • Completion of a medical terminology course preferred
  • Basic computer training in MS Office Suite (Excel, Word, Outlook)
  • 2 years experience working in a fast-paced hospital setting/medical office/clinical setting environment
  • Demonstrated ability to prioritize competing requests
  • Experience working with MS Office Suite and varied other computer systems
  • Understanding of medical terminology
  • Good communication skills (written & verbal)
  • Demonstrated ability to work independently in a fast-paced environment and multi-task
  • Advanced interpersonal and adaptability skills to cope effectively with deadlines and internal and external customer requests
  • Ability to work as part of a team
  • Experience in ANSOS and MISYS software preferred
  • Ability to speak a second language preferred
  • Working knowledge of SEIU and ONA collective agreements preferred
  • Evidence of satisfactory attendance record
  • Ability to work in a manner that exemplifies the centre’s core values and helps patients get their life back
  • Should be aware of conditions and measures that may affect the safety of patients, residents, students, employees, volunteers, physicians and visitors

 

Accountabilities:

  • Maintain/provide accurate staffing schedules and arrange for staff replacements following Staffing guidelines/parameters
  • Generate/prepare reports
  • Conduct payroll data entry
  • Register all clients and referrals and ensure all information is collected and processed.
  • Support day-to-day admission functions.
  • Ensure PT movement across the Centre is accurately recorded.
  • Provide junior clerk duties of the Unit Clerk role and assist/direct/re-direct clients/patients (the clients may be inpatients and/or outpatients).
  • Communicate with clients, families, physicians, clinicians and other related departments and services to assist with the management of the patient’s care.
  • Distribute and pick up mail, photocopy, transport charts and information, and manage a high volume of incoming and outgoing  telephone calls
  • Maintain manual and/or computerized systems for tracking information.
  • Format correspondence including using MS Email and other related systems and/or work processes, and collate, track and maintain spreadsheet information using MS Excel.
  • Schedule and coordinate appointments and assessments for patients/clients and clinicians (including equipment, space availability and transportation as required).  Distribute clinic agendas to all applicable parties in advance of a clinic.
  • Print and provide clients/patients with appointment schedules, and prepare client/patient charts
  • Maintain discharge reports/ records and file and pull client/patient charts
  • Coordinate clients’/patients’ appointments between different services to help create efficiency with the clients’/patients’ WPHC visit/stay
  • Schedule transportation for patients to appointments, home, or on excursions
  • Respond to health records requests and reconcile client/patient visit data using appropriate software.
  • Ensure the nursing unit/department/service is adequately stocked with supplies/resources and track utilization.
  • Maintain clients’/patients’ clinical records in accordance with centre policy.
